From Excel to Enterprise: Why Renewable Energy Companies Are Digitising Legacy Engineering Tools

Walk into almost any renewable energy engineering team and you’ll find at least one mission-critical process still running on a spreadsheet. Seismic impact modelling. Grid connection budgeting. Compliance tracking across dozens of sites. It’s not because these teams don’t understand technology – it’s because the spreadsheet was built by an expert, for an expert, and it has quietly become load-bearing infrastructure nobody wants to touch.

The problem is that “it works” and “it scales” are two very different things.

Why legacy tools become a liability as you grow

A spreadsheet-based process that’s manageable at five sites becomes a genuine risk at fifty. Version control breaks down — whose copy is the current one? Access and security get harder to manage as more stakeholders (developers, partners, regulators) need visibility. Errors creep in through manual data entry and copy-paste. And when the one person who really understands the spreadsheet’s logic leaves, so does a huge amount of institutional knowledge.

We saw this first-hand with Xi Engineering, who support the Ministry of Defence in assessing whether wind farm developments interfere with seismic monitoring in the Eskdalemuir Consultation Zone. What “digitising” actually means 

A lot of digitisation projects go wrong because they treat the goal as simply “get this off Excel.” That misses the point. The real opportunity is to rethink the workflow around the people who use it –  because a spreadsheet forces everyone to work the way the spreadsheet works, not the way the process should work.

For Xi Engineering, that meant recognising that two very different user groups, wind farm developers and MoD case handlers, needed two different experiences of the same underlying process. So instead of one generic tool, we built two: an Industry Tool for developers to model proposals and assess seismic impact, and a Management Tool for the MoD to track seismic headroom and manage requests. Same data, same technical logic, entirely different and appropriate user experience for each audience.

 

What to look for before you start a digitisation project

  1. Map the real workflow, not just the spreadsheet’s structure. The existing tool reflects years of workarounds, not necessarily the ideal process. Good discovery separates the two.
  2. Identify every stakeholder who touches the process, not just the person who built the spreadsheet. Developers, regulators, internal teams and partners often have very different needs from the same underlying data.
  3. Don’t discard the domain expertise baked into the old tool. The technical logic your engineers have refined over years is an asset — it needs to be preserved and properly modelled, not lost in a rebuild.
  4. Plan for scale from day one. Build on secure, cloud-native infrastructure that can handle your project pipeline in three years, not just today.
  5. Treat UX as a risk-reduction exercise, not decoration. In engineering- and compliance-heavy processes, a confusing interface isn’t just annoying, it increases the chance of a costly or unsafe error.

Where to start

You don’t need to digitise everything at once. Start with the process causing the most friction, the one eating the most time, creating the most risk, or blocking the most stakeholders – prove the value, and expand from there.
